Terms and Conditions
Your deposit is required to establish and hold a reservation to cover costs of accommodation, flights, admin fees and many other tour costs therefore your deposit is Non Refundable.
​Your deposit guarantees your reservation for the tour, therefore it is non-refundable should you choose to withdraw from the tour for whatever reason. However, should EMCA cancel the tour, your deposit will be refunded.

No cancellation fees will be waived as a result of the following:

Injury or sickness.

Change of circumstances

Delayed, rescheduled or missed flights.

Climatic, social or political problems.

Covid 19 Border restrictions

Deposit and Cancellation Policy:

Deposit: Non-refundable.

Cancellations within 45 days of the tour: No refund will be provided.

Cancellations more than 45 days before the tour: The deposit remains non-refundable. Any payments made over the deposit will be refunded minus a $380 administrative fee.

Travel Insurance: Mandatory. It will cover the cost if you need to cancel the tour.No cancellation fees will be waived as a result of the following:Injury or sickness.Change of circumstances, delayed, rescheduled or missed flights. Climatic, social or political problems.

If you wish to cancel your tour, should you find a replacement rider to fill your position, your deposit and final payment can be transferred to that replacement rider less an admin fee of $380 (contingent on them completing the booking form and agreeing to the terms and conditions).
Travel insurance is mandatory to protect yourself from financial loss if you need to cancel due to sickness, injury, medical conditions, or any unforeseen circumstances. According to our cancellation policy, your deposit is non-refundable, and depending on the timing of your cancellation, the full payment may also be non-refundable.

While our tours include public liability insurance, it is essential for each participant to obtain their own personal insurance. Please carefully review the terms and conditions of the travel insurance you choose to ensure it adequately covers your needs for the tour. Additionally, our motorcycles are covered by third-party CTP insurance.
 Final payment is due 45 days prior to your tour (with the exception of Nepal where final payment is due 6 weeks prior to the tour commencement) and from this point no refund for cancellation will be given. Therefore, travel insurance is mandatory, it will cover your tour costs if you need to cancel. Please read the terms and conditions on the travel insurance you chose to make sure it is appropriate for your tour and will cover you.

I am completely aware of the dangers of trail bike riding on and off-road. I take part in this trip at my own risk. I agree to the fact that neither Ellwood Motorcycle Adventures nor their representatives or their agents are responsible for damage to my person, belongings, financial loss incurred or for any other extenuating circumstances beyond their control. I am aware that Ellwood Motorcycle Adventures is not responsible for the behaviour of other participants.
I shall abide by local traffic regulations and those of the group trip. I will ensure that my behaviour and/or actions in no way cause harm to other people, local environment, or my hire vehicle. As far as is known to me, I am in good health and able to meet the required tour standards. I have a current valid motorcycle licence.

The rider is responsible for

Travel Insurance: Travel insurance is mandatory. Participants are responsible for obtaining their own travel insurance to cover cancellations and other unforeseen circumstances. It is the participant's responsibility to ensure that their chosen insurance policy is appropriate for the tour and meets their coverage needs.

Rental Agreement Terms: Adherence to all terms of the rental agreement is required.

Damage to Property: Participants are liable for damage caused by careless, willful, or reckless riding, including when under the influence of drugs or alcohol. Damage resulting from submersion in water (e.g., river crossings, salt water) due to rider negligence will also be covered by the individual rider, as detailed in the damage price list provided.

Licence Requirements: The rider’s licence must be valid, current, and appropriately rated for the motorcycle.

Motorcycle Use: The motorcycle must be ridden legally, adhering to road laws (e.g., not riding on the wrong side of the road).

Ignition Keys: Participants are solely responsible for the ignition keys during the riding day. If keys are lost or stolen due to neglect or failure to follow the tour leader’s instructions, participants will be responsible for the cost of replacement.

Traffic Regulations: All local traffic regulations and road rules must be adhered to.

Guidance and Instructions: Participants must follow all guidance, recommendations, and instructions provided by Ellwood Motorcycle Adventures or its representatives.

Helmets: Helmets are mandatory, and all participants must wear a roadworthy helmet at all times during the tour.

Awareness: Participants must remain aware of traffic, road conditions, weather, and other motorcyclists and act accordingly.

Behaviour and Conduct: The motorcycle tour leader reserves the right to terminate a rider’s participation if the rider is deemed unsafe to themselves or others or if they exhibit offensive behaviour. Termination will result in forfeiture of the balance of the tour.

Medical Conditions and Emergency Contacts: Participants must inform the tour operator of any pre-existing medical conditions and provide emergency contact details.

Personal Belongings: Participants are responsible for their personal belongings throughout the tour.

Tour Modifications: Participants must adhere to any changes or modifications in the tour itinerary as communicated by the tour operator.

Information Collection: Certain personal information will be collected and may be disclosed to service providers for the purpose of delivering services but will not be used for any other purposes.

Copy of current motorcycle licence or learners licence.

Terms and Conditions must be read and accepted. ( by ticking the terms and conditions when booking you have agreed to all Ellwood Motorcycle Adventure Terms and Conditions.

Release and Waiver, Assumption of Risk and Indemnity Agreement must also be signed in person at the beginning of your tour. We will provide a copy for you to sign.

Motorcycle tour packages do not include: alcoholic beverages, optional tours and sightseeing excursions, gratuities, travel insurance and insurance coverage for injury to the rider.
We have trained first aiders and are equipped with first aid supplies and satellite phone for any necessary first aid attention. You will be briefed on conditions daily of expected itinerary.
Before every tour begins, your motorcycle tour leader will give each participant a briefing about local speed limits, signage, and other applicable traffic regulations.

You acknowledge that travelling with Ellwood Motorcycle Adventures requires a degree of flexibility, good humour, and an understanding that the itinerary, accommodation and vehicles may change even after commencement, without prior notice due to local circumstances. Changes may occur because of force border restrictions, poor road conditions, weather, vehicle breakdowns or other circumstances beyond Ellwood Motorcycle Adventures control or which simply cannot be foreseen.

Ellwood Motorcycle Adventures reserves the right to change any part, or the whole, of the arrangements contained within the website and tour dossier, should conditions or circumstances beyond our reasonable control determine such action necessary. In such cases, we will use our reasonable endeavours to provide alternatives of the same standard, quality and duration as the original itinerary. You will have the right to cancel your tour, in which case cancellation fees as outlined in the Booking Conditions and Trip Terms and Conditions will apply.

Ellwood Motorcycle Adventures does not accept any responsibility for loss of enjoyment, delays or compensation resulting from circumstances beyond our control. Ellwood Motorcycle Adventures is not responsible for any incidental expenses that you may incur as a result of changes made by us, including, but not limited to, additional accommodation, airfares or costs associated with changes to airfares.
You acknowledge that the nature of the trip is adventurous, and participation involves a degree of personal risk. You acknowledge your journey will have the usual risks of travel, and the additional risks that are associated with adventure travel and motorcycling. You accept these risks and the possibility of personal injury, death, property damage or loss which may result from your decision to participate in the tour or expedition.
